How it works

Your documents in. Ready people out.

You send what you have. We do the build. Your managers stay in control of who goes live.
You send it

Intake review

We read everything you send and map it to roles. PDFs, Word docs, screenshots of your systems. Messy is fine.

Build

Modules, quizzes, simulated screens and call scenarios, all built from your documents, word for word against your policies.

Your review

You correct anything that does not match how you actually work. Nothing launches until you sign off.

Launch

Logins, manager dashboard, first cohort. Only people who pass Level 3 take live work.

Ongoing

Keep current

Policy changes flow into the training. Send us the new rule and the affected modules and scenarios are updated.

The platform

What is in the platform.

Seven parts. One place. All built from your material.
Call Lab

Callers who push back.

  • AI callers with two-way voice. They interrupt, argue and change their story.
  • Email scenarios for written follow up and portal messages.
  • Grading based on your SOP, with full transcripts to review.

Level 2 and 3 calls ring the trainee's real phone or headset. Our AI caller plays the patient, the nurse or the law firm, pushes back the way they do, and the recording is scored against your own policies the same way the in-app calls are. Scheduled or unannounced. After certification the same calls become a monthly quality check.

Caller
Yeah, I got a letter saying my MRI was denied. Nobody called me. What is going on over there?
Trainee
I am sorry about that. Can I get your name and date of birth so I can pull it up?
Caller
Daniel Reyes, February 9, 1968. So is it denied or not?
Trainee
I see the denial came in yesterday. It goes to Dr. Nguyen the same day and he decides whether to appeal, so it is not final.
Caller
Then why did nobody tell me that?
Trainee
You should have heard from us. I am sending a message to his team now and you will get a call within two business days.

Did well
  • Stayed calm and acknowledged frustration
  • Verified two identifiers before searching
Missed
  • Did not offer the nurse line for symptoms
Policy errors
  • Promised a same day slot before checking. Policy 2.7.

And the other six parts.

Learning modules

  • Each lesson maps to a section of your SOP.
  • Your real screenshots, annotated where it matters.
  • Quick checks after every concept, not a 50 question exam at the end.

Sim Desk

  • Simulated versions of your EMR, portal or scheduling system.
  • Your real screenshots side by side with the practice screen.
  • Every step graded against the SOP. Wrong field, wrong order, it gets caught.

Ask the manual

  • Answers come only from your own documents, with the section cited.
  • If your manual does not cover a question, it says so instead of guessing.
  • Your team can use it from day one, before the training is even finished.

Levels and certification

  • Level 1: know the procedure.
  • Level 2: apply it under realistic conditions.
  • Level 3: run the desk in a timed shift simulation, then a supervisor review. The record keeps the date, the observer and the score.

Manager dashboard

  • Scores and level by person, team and site.
  • A clear list of who is cleared for live work.
  • The specific steps each person keeps missing.

Multi-site and multi-department

  • Site specific rules and payer lists.
  • Department tracks with shared core modules.
  • Roll up reporting across locations.
Module 3 of 8 · New patient scheduling

Verify insurance before you book

Per SOP 4.2, check the payer against the accepted list. If it is not listed, offer self pay and log the call.

Timeline

How long it takes.

Most builds take one to three weeks from the day we receive your materials, depending on how much material there is and how much detail your procedures carry.

One department with a clean manual sits at the short end. Several departments, many systems and thick policy binders sit at the long end.

Need it sooner? We offer expedited turnaround and we stagger the build, so your most critical module goes live first and your new hires start while we finish the rest.
